13. Register participants and distribute packages

Aim of this section: Once you have prepare the packages with the different technology options is time to go to the field to distribute the packages and register each participant with their correspondent trial package.

How-to: There are different ways of doing it: you can arrange a meeting in which you will meet the participants or you can visit the participants one by one in their location.

Using ODK Collect:

  1. Once you are with the participant open ODK Collect and get the blank registration form.
  2. Fill the form with the data from participants. The first step is to scan the QR code attached to the package with the three technology options that the participant is getting, to link that package to their individual profile.
  3. Once the forms have been filled send them to the server.

Paper (NOT RECOMMENDED since it increases significantly the time you will spend and it is more prone to errors):

  1. Alternatively you can register your participants using paper forms. You can find the documents ready on Downloads: Printer-friendly registration form.
  2. Fill in the data back into an excel. On the main manu, left side, click on Upload data (green button) and click on Create template. The template will be generated and now it is accessible in Downloads: Excel template for uploading registration form data.
  3. Once you have filled in the template, go back to main menu, click on upload data (green button, left side) and upload your excel document.

Review, edit and end participant registration:

  1. On the main menu, left side, click on the green button view data to review the submitted data and edit data in the fields if necessary,
  2. On the main menu, left side, click on the red button finish registration if you have registered ALL participants. ** Please note that it is not possible to undo this step, so only do when you are sure that registration is finished.
